How to budget a nonprofit event

A fundraising event budget has three moving parts: fixed costs (venue, A/V, décor, marketing — the same whether 50 or 500 people come), variable costs (catering, which scales with every attendee), and revenue (tickets, sponsorships, auctions and the live appeal). Industry watchdogs consider roughly $0.50 per dollar normal for special events — they are among the most expensive ways to raise money, which is fine as long as you know it going in and the event also builds relationships you can steward all year.

• Budget a 10–15% contingency. Events reliably produce surprises: overtime hours, last-minute rentals, extra meals for vendors.
• Count staff time honestly. If three staff spend two months on the gala, that cost is real even if it never hits the event ledger.
