How sponsorship pricing actually works

Sponsors are buying two things: visibility (their brand in front of your audience) and association (being seen supporting a cause their customers care about). Price too low and you leave money on the table and signal a low-value audience; price too high with nothing behind it and packages sit unsold. The reliable method is to work from two directions at once: what your event needs (sponsors covering 60–100% of hard costs) and what your audience is worth (attendees are worth far more per head than passive impressions).

This calculator blends both: it sets a sponsorship target from your costs, checks it against an audience-value estimate, and splits the result into a tier ladder where each level is roughly 2–2.5× the one below it — the spacing that makes the middle tier feel like the sensible choice.

What to put in each tier

  • Presenting (1 available): naming rights (“The Riverside Gala presented by ___”), remarks or a video slot, premium table, logo on everything, year-round website placement.
  • Gold: table for 8–10, stage mentions, logo on signage and program, social media features.
  • Silver: 4 tickets, program and signage logo, group social thank-you.
  • Bronze: 2 tickets, name listing in program and website.
  • Scarcity sells. One presenting sponsor, two or three gold. Unlimited bronze is fine.
  • Always include a custom line. “Underwrite the bar: $2,500” often closes companies that ignore tier sheets.

Sponsorship payments tied to advertising can have tax implications (qualified sponsorship vs. advertising income). For large packages, have your accountant review what you’re promising.
