The formulas
Cost per dollar raised = total cost ÷ total raised. ROI = (raised − cost) ÷ cost. They’re the same information from two angles: $0.25 per dollar raised is a 300% ROI. Whichever you report, include staff time — a “cheap” appeal that consumed six weeks of a development director isn’t cheap, and this calculator adds those hours to the true total cost.
What’s normal, by channel
- Major gifts & planned giving: $0.05–0.15 per dollar — the most efficient money in fundraising, after slow cultivation.
- Grants: roughly $0.10–0.20, mostly staff writing time.
- Direct mail to existing donors: about $0.20–0.35.
- Digital & email: wide range, commonly $0.15–0.35 for house lists.
- Special events: ~$0.50 is typical — events buy visibility and relationships along with revenue.
- New-donor acquisition: often $1.00–1.25 — losing money on the first gift is normal and is really an investment priced by donor lifetime value.
Watchdogs look at the blended picture: Charity Navigator gives full credit to organizations spending under about $0.20 blended across all fundraising. One expensive event inside an efficient program is normal; a whole program at event-level costs is a flag. Check your organization-wide numbers with the nonprofit ratio calculator.
Judge each channel against its own benchmark and its purpose — acquisition buys donors, events buy community, major gifts buy revenue. A single blended target for everything leads to bad decisions.
